CV Campus OS — Privacy Policy

This policy explains how Clear Vision Design and Marketing LLC, a Missouri limited liability company ("Clear Vision," "we," "us") handles information on CV Campus OS (app.cvcampusos.com), the software campus ministries use to manage their people, events, and giving.
1. Two different roles
- The Campus is in charge of its people's information. A campus ministry decides what it collects about students, donors, and volunteers, and why. That's the ministry's relationship. Its own privacy notice covers it.
- Clear Vision runs the software. We host the information for the Campus and process it only to provide the Platform. In this role we act on the Campus's instructions.
If you're a student or donor with a question about your information, ask the campus ministry first. They can see and change it.
2. What we collect
About people who sign in (Campus staff and users):
- name, email, phone number;
- login details and security records (sign-in time, device and browser type, IP address).
About people the Campus records in the Platform (students, donors, guests, volunteers) — entered by the Campus or by the person through the Campus's forms:
- name, phone, email, class year, and other details on forms the Campus creates;
- event sign-ups and attendance;
- messages sent and received through the Platform, including text messages;
- gift records: amount, date, fund, and donor contact information. Card numbers go to the payment processor, not to us.
Automatically: basic technical data such as pages visited and errors, used to keep the Platform working and secure.
3. How we use it
- to run the Platform for the Campus;
- to send the messages the Campus asks us to send;
- to keep the Platform secure, fix problems, and prevent misuse;
- to answer support requests;
- to meet legal obligations.
4. What we don't do
- We do not sell personal information.
- We do not use a Campus's contact lists to market our own products to those people.
- We do not share mobile phone numbers or text-message opt-in information with third parties for their marketing.
5. Text messages
Texts on the Platform are sent by the Campus, under the Campus's own name. Message and data rates may apply. Reply STOP at any time to stop receiving texts from that Campus, and HELP for help. Opt-out requests are honored. Consent is collected by the Campus, not by Clear Vision. The Campus's own privacy notice and terms apply to those messages.
6. Who else touches the data
We use service providers to run the Platform. They may handle information only to serve us and the Campus:
- HighLevel — the core platform: contacts, forms, messaging, automations, and reporting data;
- Stripe — processes gifts and payments made through the Platform;
- Cloudflare — hosts our reporting tools and provides security and delivery services;
- Telephone and email carriers, reached through HighLevel — to deliver text messages and email.
A Campus may also connect its own tools to its account. Those connections are the Campus's choice and are covered by the Campus's own agreements.
We may also disclose information when required by law, or to protect people or the Platform from harm. If we're ever involved in a merger or sale, we'll require the new owner to honor this policy.
7. Keeping it safe
We use reasonable technical and organizational measures: access controls, encrypted connections, and limited staff access. No system is perfectly secure, and we can't guarantee absolute security. If we learn of a breach affecting your information, we'll tell the affected Campus so it can notify you as required.
8. How long we keep it
We keep information as long as the Campus's account is active. After the account ends, we delete it within 90 days, except where we must keep records by law. Backups roll off on their normal cycle.
9. Your choices
Ask the campus ministry to see, correct, or delete your information, or to stop contacting you. If you contact us instead, we'll pass your request to the Campus and help it respond. Campus staff can update their own account details in the Platform.
10. Children
The Platform is built for adults and college students. It is not directed at children under 13, and we don't knowingly collect their information. If you think a child's information is in the Platform, tell the Campus or us and we'll help remove it.
11. Changes
We may update this policy. If a change is material, we'll notify Campus administrators and update the date above.
